During the summer of 2022, Acacia Headquarters Staff reviewed the Chapter Standards Program, Conclave 2022 Awards submissions, and the Chapter Reporting webpage. This review found only chapters participating in the awards process and those who completed the Chapter Standards Program packet with their Chapter Coach were consistently providing data points that are valuable for the whole fraternity.
Upon further review of all these different data points, three different categories emerged. These three categories describe whether a data point is required or not and why.
There are three reasons why a data point is required:
it is stated as such in the Laws of Acacia
for legal or insurance purposes
the Oath you take during initiation says you will do it.
Data points labeled as an Award Priority are not required but should be submitted if the chapter wants to apply for and receive awards.
Data points that fit in the sanctions category are not typically required but due to outlined sanctions or conditions, they become required for a specific chapter. Those who have these sanctions or conditions know about them.
What Data Points Will My Chapter Be Required to Submit?
For the 2023-2024 academic year, there will be a focus on all chapters submitting a total of 39 data points all of which are in the required category, many of which are submitted each semester. Many of these items your chapter should already have completed.
Submissions are to include documents related to the 2023-2024 academic year.
Grade reports are the exception as we are looking for the previous semester’s report. Example: Submit the Spring 23 grade report during the Fall 2023 semester.
Submissions for 2022-2023 and 2023-2024 academic year are to be completed by April 1, 2024 to coincide with Conclave Awards.
How are we submitting this information?
Everything you submit is going to go either into OmegaFi Vault OR you will complete a TypeForm survey, link provided below
To submit in OmegaFi go to:
OmegaFi Vault—> Acacia Tab —> Reports —> See list of items to submit.
Click item to submit—> New page pops up—> Click on add “Report Name”—> Name report “ YEAR TITLE OF DOCUMENT”—> Upload the document into that report field.
To submit via Typeform use the links below:
There are four different Typeforms: Risk Management, Ritual-Semester, Ritual-Year, and Chapter Facility Reporting Forms. Data points are separated by which chapter officer should theoretically be completing the items. Anyone can fill out these forms, but the following is recommended:
Check out the How Do I Submit Chapter Reporting document for more details.
How are we tracking the information that has been submitted?
You will be able to see your info in OmegaFi Vault once submitted
You will receive a copy of the TypeForm submitted
Acacia Headquarters will be actively tracking documents being submitted in their own database. A tracking page will be shared with your chapter soon.
What about the Awards Priority Category?
The data points in the Awards Priority category are listed here.
It is recommended officers download this list and create a folder for the documents requested. At the end of each semester, add in the documents as needed. As we approach the 2024 Conclave, more information will be released about applying for awards.
